What Do We Expect From You:

We are looking for an Senior Executive Assistant to join our team at Suzano North America. This professional will play a key role in ensuring the smooth operation of our Fort Lauderdale office and supporting our local leadership team.

In this role, you will act as a central point of contact for office administration, executive support, internal communication, and coordination of corporate activities. You will work closely with teams in Brazil and across the U.S. to ensure alignment, efficiency, and a high-quality employee experience. Your ability to manage multiple priorities, build strong relationships, and proactively solve problems will be essential to our success.

Qualifications:

Required:

  • Bachelor’s degree completed.
  • Fluent in English, both written and spoken.
  • Minimum of 3 years of proven experience in office administration and/or as an Executive Assistant.
  • Solid understanding of accounting principles and SAP system experience.

Desirable:

  • Proficiency in Portuguese is a plus.
  • Familiarity with Concur travel and expense system is an asset.
  • Strong command of Microsoft Office tools (Outlook, Excel, PowerPoint, Word).
  • High level of professional integrity and discretion when handling confidential information.
  • Strong sense of proactivity, ownership, and problem-solving skills.

What You’re Going to Do:

Administration:

  • Ensure the smooth operation of the office and provide an excellent employee experience (including organized workspaces, functional meeting rooms, stocked kitchen and snack areas, clean and well-maintained facilities, and effective communication with the building administration).
  • Act as the main point of contact for all office-related inquiries from employees.
  • Manage local vendors and service providers, including maintenance contracts, renewals, cost control, and identifying efficiency opportunities.
  • Coordinate office events and celebrations (e.g., birthdays, team lunches, happy hours, year-end parties, team-building activities, and leadership townhalls).
  • Serve as the primary liaison with corporate departments such as Legal, Service Center Brazil, and other Executive Assistants.
  • Oversee audit processes related to the office and workplace safety, in collaboration with the Brazil office.
  • Support expatriates during relocation and settling-in processes.
  • Manage travel arrangements, including administering Concur (user setup, updates), enforcing travel policy compliance, and coordinating travel for visitors (hotel bookings, transportation).
  • Oversee corporate credit card administration (user management, expense reconciliation aligned with budget).
  • Lead and develop the Administrative Assistant, supporting their performance and growth.

Executive Assistant:

  • Coordinate and book national and international travel for the Managing Director, and process related expense reports.
  • Support executive leadership with travel arrangements and expense submissions.
  • Schedule and coordinate meetings and calls with customers and partners.
  • Manage calendars and agendas for internal and external meetings.
  • Handle administrative paperwork, including signature collection and document processing.
  • Assist with expatriation-related logistics (e.g., appointments, flights, coordination with Global Mobility HR).
  • Prepare and manage office-related expenses tied to the MD’s dedicated corporate credit card.

Communication:

  • Act as the focal point for internal and external communications, ensuring alignment with Marketing and Communication teams in Brazil (e.g., customer visits, brand visuals, corporate gifts, and communication strategy).
  • Support the Europe-based Communication Coordinator in adapting initiatives to US team needs (e.g., customer newsletters, internal campaigns like Say It Suzano , holiday messaging, and celebration planning).
  • Lead the planning and execution of major events such as Vancouver Pulp Week and other key industry events, in partnership with the Technical Service team.
  • Manage the Suzano America branding initiative in collaboration with universities and external stakeholders (including partnerships, sponsorships, event coordination, and budget management).

Accounts Payables:

  • Own the yearly budget process for administrative operations, including input, monitoring, and reporting.
  • Oversee processing and control of all administrative invoices and recurring office costs.
  • Monitor payments in SAP and support financial reconciliation processes with SGS Brazil.
  • Track and manage monthly fixed costs, ensuring alignment with budget and accurate P&L allocation.
  • Execute accounting reclassifications as needed.
  • Contribute to special projects, including the upcoming SAP system implementation in 2026.
  • Respond to ad-hoc financial or administrative requests from the Finance Controller.
