POSITION: Independent Spent Fuel Storage Installation (ISFSI) Administrator
REPORTS TO: ISFSI Manager and Executive Director of Business Operations
POSITION SUMMARY:
Responsibilities of the job:
• Provides for the administration and maintenance of the Records Management System; coordinates document control activities and various controlled distribution programs, policies and procedures.
• Performs accounts payable function including receiving and processing invoices in accordance with Company policies and procedures; preparation and control of checks to vendors, investigating and responding to vendor inquiries.
• Performs purchasing activities including the preparation of Purchase Orders in accordance with Company policies and procedures.
• Maintains Purchase Requisitions and reconciles Procurement Card Purchases.
• Processes, maintains and distributes all corporate policies and procedures.
• Supports the implementation of procedure and program revisions.
• Assists in coordinating and responding to auditor requests, including external annual audits of the financial statements, trust fund audits, internal audits, sales and use tax audits, DOL audits, etc. as needed.
• Assists in coordinating all incoming and outgoing correspondence to verify appropriate personnel are receiving and reviewing documents for submittals to outside agencies.
• Assists in planning and scheduling and preparation of licensing submittals for signature, including coordination of management reviews and approval.
• Assists with budget preparations.
• Reviews, prepares, and processes expense reports for compliance with Company Policy and IRS guidelines.
• Responsible for control of Petty Cash.
• Supports the implementation and maintenance of the Corrective Action Program and the administrative requirements of the security program.
• Assists General Counsel and legal team in coordinating and responding to requests for discovery in support of Department of Energy and other litigation.
• Assists with meeting preparation and distribution of material for Community Advisory Meetings and Federal Energy Regulatory quarterly meetings.
• May require travel to other support facilities as necessary.
• Perform other duties as assigned.
Qualifications (Required and Desired):
Required
The ISFSI Administrator is required to meet the following minimum requirements:
· Prior experience in an office environment and/or related academic or technical training
· Shall have a high school diploma or equivalent
· Five (5) years relevant administrative/office experience
Additionally, an ISFSI Administrator should meet the following minimum requirements:
· Knowledge of financial/business controls and processes
· Advanced work processing, database, spreadsheet skills
· Familiarity with administrative processes and controls
· Relevant skill and/or experience in finance and accounting
· Must demonstrate initiative
· Good oral and written communication skills
· Planning and organizational skills
· Detail oriented, high level of accuracy
· Ability to effectively deal with internal and external customers
Desired Experience and Background
· Associate degree in Business Administration or related field, or equivalent experience
· Knowledge of payroll functions
· Experience interfacing with vendors, auditors, various state/federal agencies
· Knowledge of procurement functions
· Knowledge of accounts payable processing
· Familiarity with Microsoft Office 365
· Familiarity with Human Resources/Benefits concepts
· Familiarity with accounting practices/processes
· Knowledge of cash management functions
