We are seeking a highly organized and proactive Executive Assistant to provide direct support to the COO and additional C-suite executives. Responsibilities

  • Provide executive-level administrative support to the COO, including scheduling meetings, managing calendars, and coordinating appointments.
  • Assist the CFO with board meetings, including preparing board books and supporting related logistics.
  • Schedule and coordinate meetings for VPs, including event planning and organizing company-wide initiatives.
  • Manage a company merchandise store, working with vendors and tracking costs.
  • Assist in planning and coordinating company outings, office parties, and summer picnics in collaboration with HR.
  • Support lunch-and-learn sessions, including catering coordination and expense tracking.
  • Assist with onboarding new hires and maintaining an up-to-date staff directory.
  • Develop meeting agendas, take minutes, and follow up on action items.
  • Lead and support special projects, including diversity, equity, and inclusion (DEI) initiatives.
  • Handle data tracking and reporting, utilizing spreadsheets and Google Sheets to analyze and organize information.
  • Support the creation of surveys to collect client feedback, compile results, and maintain secure tracking in Google Sheets.
  • Ensure professional representation of the company in all interactions, maintaining confidentiality and discretion.

Ideal Experience

  • 5-10 years of relevant experience, ideally supporting C-level executives in a fast-paced environment.
  • Bachelor’s degree is preferred.
  • Advanced MS Office: Word, Excel, PowerPoint, and Outlook.
  • Proficiency in Google Suite and other office productivity tools. Strong spreadsheet management and data organization skills are a must.
  • Ability to manage multiple tasks, prioritize effectively, and maintain accuracy under deadlines.
  • Adept at handling confidential information and maintaining a high level of discretion.
  • Strong written and verbal communication skills; able to interact effectively with colleagues at all levels.
  • Comfortable working in a male-dominated environment and adjusting to different work styles.
  • A proactive self-starter who takes responsibility and seeks ways to improve processes.
  • Must be able to handle constructive feedback and not take things personally.
  • Demonstrated commitment to previous roles and a willingness to commit long-term to the organization.
