I’m hiring an Executive Assistant for a dynamic CEO based in Miami. He’s a strong, driven leader with high expectations—especially for his right hand. This role is best suited for someone who can operate as a true extension of the CEO: sharp, proactive, and deeply trustworthy. About the Role:

What You'll Be Doing:

  • Managing a constantly evolving calendar
  • Coordinating complex travel arrangements (domestic & international)
  • Handling email and communications on behalf of the CEO
  • Preparing meeting materials, agendas, and follow-ups
  • Acting as a liaison with internal and external stakeholders
  • Supporting sales efforts with admin tasks (CRM updates, proposals, etc.)
  • Managing relationships with vendors and suppliers
  • Ensuring a top-notch client experience through coordination and communication
  • Overseeing product sample logistics and distribution
  • Assisting with sales decks and presentation materials
  • Pitching in on special projects and occasional personal tasks

Qualifications:

What We're Looking For:

  • 4+ years supporting senior leadership or C-suite executives
  • Excellent communication, judgment, and organizational skills
  • High discretion and a proactive mindset—you anticipate needs, not just react
  • Comfortable managing competing priorities in a high-stakes environment
  • Tech-savvy: familiar with Google Suite, Microsoft Office, Slack, Zoom, CRM tools
  • Professional, polished, and flexible with a no-task-too-small attitude
  • Based in Miami and available for full-time onsite work

Preferred Skills:

  • Sales admin experience
  • Worked with vendors or in supplier management
  • Background in manufacturing or food & beverage
  • Exposure to M&A activity
